Principal Responsibilities
- Travel Desk Management:
- Manage domestic and international travel arrangements including flights, hotels, cabs, visas, and insurance.
- Coordinate with travel agencies and vendors to secure best rates while adhering to company policies.
- Prepare and share travel itineraries, confirmations, and updates with employees.
- Handle last-minute travel changes, cancellations, and emergency travel support.
- Maintain records of travel bookings, approvals, and expense statements.
- Reconcile travel invoices and support finance in expense settlement.
- General Administration:
- Manage day-to-day office administration and ensure smooth office operations.
- Liaise with vendors and service providers; manage contracts, SLAs, and invoice processing.
- Support meeting room management, internal events, trainings, and employee engagements.
- Manage office supplies, stationery, and inventory; ensure timely replenishment.
- Assist with employee onboarding from an admin perspective (ID cards, seating allocation, access setup).
- Maintain administrative records, logs, and reports.
- Coordinate with internal teams and external vendors to resolve operational issues
- Vendor & Documentation Management:
- Maintain and manage contracts/SLAs with travel agencies, hotels, cab providers, and admin vendors.
- Process purchase orders, invoices, and maintain accurate documentation logs.
- Prepare periodic reports on travel usage, admin expenses, and operational KPIs.
